Policy for Managing Assessments When Conditions Are Unsuitable

1. Purpose

To ensure fairness, safety, and consistency in the delivery of British Canoeing Leadership and Coaching Assessments when environmental conditions do not meet the required standard.

2. Scope

This policy applies to all assessors, candidates, and course providers delivering British Canoeing Assessments under the British Canoeing framework on behalf of Sea Kayaking UK Adventures Ltd.

3. Definition of Suitable Conditions

Per British Canoeing guidance, assessments must be conducted in conditions that meet the defined award remit. If environmental conditions are below or outside this remit, the assessor must apply this policy.

4. Assessment Options When Conditions Are Unsuitable

·       Relocation

·       If feasible, the assessment may be moved to an alternative venue where conditions meet the remit.

·       Partial or Deferred Assessment

·       Elements not dependent on environmental conditions may be assessed and recorded. Remaining elements will be completed during a follow-up session.

·       Alternative Activities

·       If assessment cannot proceed in full, appropriate learning activities such as leadership theory, navigation, rescue practice, or scenario discussions will be delivered. These contribute toward assessment readiness and professional development.

5. Fees and Payment

Fees remain payable if assessment conditions are unsuitable and alternative or partial activities are provided. This reflects the assessor’s time, preparation, and delivery commitment. If no practical or theory activities can reasonably be delivered, Sea Kayaking UK Adventures Ltd will offer an alternative date.

Course and assessment fees cover assessor time, planning, and delivery regardless of conditions. Candidates are encouraged to obtain suitable insurance to cover travel and accommodation costs.

6. Reservations, Payment, and Cancellation

Upon receipt of a deposit your reservation will be confirmed. You may pay a 25% deposit or full payment at booking. The remaining balance must be paid 90 days before the course. If payment is not received, the reservation may be cancelled and the deposit retained.

If a cancellation is made by the customer:
- Up to 90 days before the scheduled service, all fees paid will be refunded except for the 25% deposit.
- Within 90 days of the scheduled service, 100% of the total charge will be retained.

If cancellation is necessary by Sea Kayaking UK Adventures Ltd due to unforeseen circumstances, substitute dates will be offered where possible. If this is not feasible, a full refund will be provided for the cancelled service only. We are not responsible for additional costs such as travel or accommodation.

7. Candidate Communication and Documentation

Candidates will be informed as early as possible if forecast or on-day conditions are unsuitable. Assessors must record observed conditions, decisions made, and assessment elements completed. All partial assessments will include a plan for reassessment when conditions are suitable.

8. Appeals

Candidates may appeal decisions or outcomes through the standard British Canoeing complaints and appeals process.
